ARTICLE I:
NAME
The name of this organization shall be Fandoms United
ARTICLE II:
PURPOSE
The purpose of the club Fandoms United is to bring together any students who enjoy the unique worlds created in books, TV shows, and movies, and to bring these stories to life through weekly organized activities.
ARTICLE III:
MEMBERSHIP
Section 1: Membership of this organization is open to all students who enjoy stories integral to their childhood and/or adulthood and wish to share their excitement with others who have similar interests.
Section 2: Members are accepted continually throughout the year so long as they are in good standing with the college.
Section 3: A member may remain a member in good standing so long as they attend at least three activities a semester.
ARTICLE IV:
OFFICERS
Section 1: The following officer positions shall exist in Fandoms United: President, Vice President, Secretary, Risk Manager, and Treasurer. All officers must be full time students in good standing enrolled at Gustavus Adolphus College. The only position that has additional requirements that must be met is the president. They must have been a member of the club for at least one year before becoming president. If no qualified parties are interested, this requirement may be waived with the majority agreement of the membership present.
Section 2: The duties of each office are described as follows:
President
- To organize and preside over meetings
To function as the spokesperson of the club
To facilitate communication between executive Board Members
To preside over the organization of activities and events
Vice President
To preside over meetings in the absence of the President
To exercise all the functions of the office of the president in the absence of the president
To assist the president in the organization of activities and events
To attend monthly executive board meetings
Risk Manager
To follow all the instructions outlined for their position in Gustavus’ Student Organization handbook
To attend monthly Executive Board meetings
Secretary
To keep a written record of what was discussed and decided at all Fandoms United meetings and Executive Board Meetings
Assist the president in the correspondence of other members of the organization
To attend monthly executive board meetings
Treasurer
To maintain the finances of Fandoms United and keep accurate records of all financial matters
To coordinate any fundraising efforts
To attend monthly Executive Board meetings
Section 3: Those who wish to be a candidate for office must submit a short, written application to show their commitment to the organization and what they intend to do if elected. These should be submitted at the beginning of April. Each application will be distributed to all members of the organization along with the voting date. A poll will be set up online with a 24 hour time slot for members to cast their vote, all those who have attended at least three activities that semester are eligible. Candidates will be elected into office if they receive a majority vote.
Section 4: During the final monthly executive meeting, the new elected officers will attend and shadow the current ones in order to officially pass on each position. Their term of office begins the start of June. Any vacancies during the year shall be announced to the membership at the meeting following the vacancy. Nominations shall be taken and voting shall occur at that meeting. If no one is nominated, the President can appoint someone for that position. The same process occurs if no member volunteers for a position during Spring elections.
Section 5: Fandoms United, by a two-thirds vote of all members present, may remove on a good cause, an executive board member from office. A request for removal from office will be brought to the club President who will then bring the request before the membership at the next scheduled meeting.
ARTICLE V:
MEETINGS
Section 1: Full club meetings will be held once at the beginning of each semester to plan ahead for a number of activities. Executive Board meetings will be held once a month to discuss activities and events in detail. The president will set the agenda for the meetings with input from all members and Executive Board Members.
Section 2: The President or Advisor has the capability of calling special meetings for any matters they feel cannot wait until the next regularly scheduled meeting. Members must be given at least 3 days notice of any special meetings.
ARTICLE VI:
Section 1: The Executive Board shall be comprised of the President, Vice President, Secretary, and Treasurer.
Section 2: The executive board shall meet once a month to discuss the planning of club activities and events. At the board’s first meeting each semester, they shall set the dates for all executive meetings and decide what time of the week to set all forthcoming activities.
ARTICLE VII:
FINANCES
Section 1: Funds of the organization shall be raised primarily through fundraising. Fundraisers and other means of obtaining funding are planned primarily by the treasurer, who is in charge of deciding which method is needed when.
Section 2: Upon dissolution of Fandoms United, any financial assets will be credited to the Student Senate.
ARTICLE VIII:
AMENDMENTS
Section 1: All members of Fandoms United that are in good standing may propose Amendments. The proposed Amendments will be reviewed by the Executive Board members and submitted to members in writing at least 2 weeks before voting is to take place.
Section 2: All members in good standing are eligible to vote, but must be present at the meeting to do so. A two-thirds majority is needed to allow the amendment to pass.
Section 3: If amendments are passed they take effect at the end of the meeting during which they are passed
